Steps to Exhibit at Midwinter

  • 1. Log in/create a TASA Member Services Center account.
    The booth request form is accessible only in TASA's Member Services Center, which requires an account/log-in information to access.

    • If you already have an account in the TASA Member Services Center, simply log in using your username (email address) and password.
    • If you have an account but have forgotten your password, use the Forgot Password feature to retrieve it. Username is your email address.
    • If you have never used the TASA Member Services Center, you must click on Create an Account and follow the steps to gain access to the Member Services Center. Note: You must link your account to your organization to successfully complete the exhibit space request form.

    2. Verify contact information in your TASA Member Services account.

    1. Once logged in to your TASA Member Services account, click on the My Account tab.
    2. Review your personal contact information and update it if necessary.
    3. Click on the My Organization tab.
    4. Scroll down to Organization Contacts to see if your primary contact (who will be sent details from TASA and the Exhibitor Services Kit from Freeman via email) and sales contact (who will be listed in the conference program and mobile app) are both listed under your organization. If not, ask each of them to follow step 1 above to create their own accounts in TASA's Member Services Center so that they can be connected to your organization.

    3. Access and complete the Booth Request Form.

    1. While logged in to the TASA Member Services Center, click the Events tab.
    2. Scroll down to Active Exhibits and select Exhibits—Midwinter 2019.
    3. Complete and submit the Request for Exhibit Space form. Be prepared to enter the following information. Please note that the primary contact and sales contact you list must be connected to your organization in TASA's Member Services Center (see steps 1-2 above).
    • primary contact name (will receive details from TASA and the Exhibitor Services Kit from Freeman)
    • sales contact name (listed in the program book and the conference mobile app)
    • preferred booth type/size
    • preferred booth location
    • exhibit sign language
    • product/service description for conference program
    • product/service categories
    • adjacent company preferences (companies you do NOT want to be near)
    • payment information (full amount or deposit required; credit card only)

    4. Watch your email for your booth assignment from TASA.
    The following criteria will be used in prioritizing the assignment of exhibit space:

    • status as a TASA Corporate Partner (contact Jennifer Garrido for more information on becoming a Corporate Partner)
    • companies with at least one TASA Associate member (join today and your membership will roll over to the 2018-19 membership year; contact Debbie O'Donnell with questions about membership status)
    • date and time of request submission
    • history of participation in TASA Midwinter Conference

    5. Pay in full by October 31.
    Organizations that request booths before August 31 and pay the full booth fee by that date will receive a 5 percent discount on the lowest listed booth price. Organizations that opt to pay a 50 percent deposit upon requesting a booth will be sent an invoice immediately after the deposit payment is received. All booth fees must be paid on or before October 31 to get the lowest listed booth price. If you request a booth prior to October 31 but full payment is not received by that date, you must pay the higher-listed booth price and you risk losing your booth assignment. Organizations requesting booths after October 31 must pay the higher booth price.

    6. Watch your email for your Exhibitor Service Kit from Freeman Co.
    An exhibitor service kit is provided to each exhibitor by Freeman Decorating. The kit contains complete information on show rules and regulations; installation and dismantling of exhibits; and exhibit services such as carpentry, drayage, signs, carpet and furniture rental, utility services, cleaning, and parking. Forms for all of these services are included in the kit.

    7. Review exhibitor information.
    Read through posted information for exhibitors related to exhibit hours and schedule, parking, policies, and permits.

Read the Contract

  • Read the exhibit rules and regulations included in the 2018 Contract for Exhibit Space. All exhibitor personnel should be familiar with these terms and conditions, as well as the general information provided. You will be asked to indicate that you have read and agree to the terms of the contract when you complete the online Request for Exhibit Space, which is housed in the TASA Member Services Center. 

Cancellations and Refunds

  • Refunds (amount paid to date less a $200 processing fee) will be granted for space canceled if requested in writing and postmarked on or before October 31, 2018.

    No refunds will be granted for space canceled after October 31, 2018.
